Privacy Policy

This policy explains how TrustBooks (“we”, “the Service”) collects, uses, stores and protects personal data. It is intended to align with the Ghana Data Protection Act, 2012 (Act 843). By creating an account you consent to the processing described here.

1. Who is responsible

The company or practice that created your workspace is the data controller for the data it enters. TrustBooks acts as a data processor, hosting and processing that data on the controller’s behalf.

2. What we collect

Account details (name, email, hashed password, role); the business, employee, payroll, customer, supplier and financial records you enter; and technical logs (IP address, timestamps, audit trail of changes) used to secure and operate the Service.

3. How we use it

To provide bookkeeping, payroll and reporting features; to authenticate users and enforce access controls; to maintain an audit trail; to bill for paid plans; and to comply with legal obligations. We do not sell your data or use it for advertising.

4. Legal basis

We process data on the basis of your consent, the performance of our contract with you, and our legitimate interest in operating and securing the Service, consistent with Act 843.

5. Sharing & cross-border hosting

Data is shared only with infrastructure providers who host the Service (our database and application hosting vendors) under confidentiality terms, and where required by law. Users within your own workspace see data according to their assigned role. Our hosting and database providers operate outside Ghana, so your data is stored and processed abroad. By using the Service you consent to this cross-border transfer, made under appropriate safeguards, consistent with Act 843.

6. Retention

We retain your data for as long as your account is active and as needed to meet the record-keeping periods required by Ghanaian tax and company law (generally up to 6 years for accounting records). When you delete your company, its records and personal data are removed except where law requires us to retain specific records for a defined period. You may request deletion at any time (see below).

7. Your rights

Under Act 843 you may request access to, correction of, or deletion of your personal data, and you may withdraw consent. You can export your workspace data from within the app, and you can request correction or deletion of your account and its records by contacting us at the address below. We verify and respond to such requests within a reasonable period, subject to any records we must retain to meet legal obligations.

8. Security

Passwords are stored only as salted hashes, access is scoped per company, administrative actions are logged, and the Service is served over HTTPS. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your data.
